Suspend Admissions and/or Close All of, Part of  or Modality of a Program

A proposal to suspend admissions to an existing degree program or certificate (and/or close it) is reviewed by the faculty of the proposer’s department.

  1. Upon approval, the department will submit the proposal to the college faculty for review. This is often done through a group of faculty organized through the dean’s office such as a faculty council or Educational Policy & Curriculum committee.

  2. After approval at the college level, the proposal then goes to the appropriate Senate academic council(s).
    1. Proposals regarding suspension of admissions and/or closure for undergraduate degrees and certificates are reviewed by the Undergraduate Council (UC).
    2. Proposals regarding suspension of admissions and/or closure for graduate degrees and certificates are reviewed by the Graduate Council (GC).
    3. Proposals regarding suspension of admissions and/or closure for professional degrees in the professional health care colleges are reviewed by the Health Care Colleges Council (HCCC). Health care colleges have the option of sending program/certificate admissions change proposals to the HCCC, but are not required to do so.
    4. Proposals for suspension of admissions and/or closure of law-related degrees are sent directly from the College of Law Faculty Council to the Senate Council Office.

       
  3. The academic council will send approved proposals to the Senate Council office. Office personnel check that the proposal complies with the Senate Rules and is ready for the next step in the review process.

     
  4. SC staff will send the proposal to suspend and/or close to the Senate Academic Organization and Structure Committee (SAOSC). The contact person for the proposal will be informed of the submission of the proposal to the SAOSC. The SAOSC chair or other members may ask the proposer questions about the proposal.

     
  5. When the SAOSC is satisfied with the proposal, its committee chair will let SC staff know it is ready for review by the SC and Senate during regular meetings.

     
  6. SC office personnel will email the contact person(s) to schedule a date when the contact person can attend a SC meeting. (SC meets most Mondays during the academic year, usually from 3 – 5 pm in 103 Main Building. SC does not meet on the second Monday of the month, when the full Senate meets.) The SAOSC chair will present the proposal to the SC and the contact person is there to answer any questions that the SAOSC chair cannot answer. SC may approve the proposal as is or request revisions.

     
  7. When the SC approves the proposal, it will be scheduled for the agenda of the next monthly University Senate meeting. Like the SC meeting, the SAOSC chair will present the proposal to the Senate and the contact person is there to answer any questions that the SAOSC chair cannot answer. Senate may approve the proposal as is or request revisions.

     
  8. Upon Senate approval, SC office personnel will alert the University community (Registrar, colleges, etc.) and the changes will be implemented as of the effective date of the proposal.

     
  9. If admissions to the program or certificate will be suspended AND the program/certificate will be closed, after approval by the Senate, the approval process for closure continues to the Board of Trustees, which has final University approval authority to close programs.

     
  10. After approval by the Board, the approval process to close a program/certificate continues to Kentucky's Council on Postsecondary Education (CPE), which has final state approval authority to close programs/certificates.
